Update from Technology - Transition to Jira and Confluence Cloud

In December we announced our plans to migrate UKHSA Jair Jira and Confluence to Cloud.  Activities are currently underway and  and we are currently on track for go-live in March 2025.


CHANGE FREEZE

- from DATE to Go-Live

To ensure the stability and reliability of our Jira and Confluence environments during this critical pre-migration period, we are implementing a Change Freeze from [Start Date] until we Go-Live effective from now.

Why is this necessary?

The change freeze is being introduced to minimise risks and prevent migration issues. By temporarily halting updates, we aim to avoid introducing changes that could unintentionally affect system performance or availability. 

What does this mean for you?

With effect from DATE

(tick) There is no change to the availability of Jira and Confluence and you can continue to use both tools.  The Digital Tools Team will be able to fulfil new business critical basic project requests without the Xray Test Management app and basic new Confluence spaces only.


(error) The Digital Tools team will be unable to fulfil requests for new configuration items such as

  • New custom fields
  • New workflows, issue types or any other new configuration schemes
  • New Automations
  • New plug in requests
  • New scripts using Scriptrunner 
  • New business critical projects using Xray Test Management app
  • Non business critical new projects or new confluence spaces 

(error) If you are a project admin we would ask you to refrain from creating any new automations in your projects during the change freeze.  The reason for this is that we would be unable to guarantee that the automations will be available in the cloud instance after migration.  If you have any concerns over this please contact us.

Once we have migrated and completed our post migration checks, the change freeze will end and the normal change management processes will resume.

Plug ins 

One of the benefits of moving to Cloud is the additional features the product provides as standard.  This has meant that we were able to review our current plug ins that come at an extra cost and we have decided not to renew the Easy Agile Team Rhythm plug in. 

What did this plug in provide?

This plug in provided user story mapping, planning poker and retrospectives.

What options do I now have?

Confluence currently offers the ability to create retrospectives as standard.  But please stand by for new features in Confluence Cloud that will include templates for User Story Mapping and Planning Poker.

What do I do if I can no longer access my teams Retrospectives in Jira?

Please raise a ticket in ServiceNow and the Digital Tools Team will assist.


Personal Confluence Spaces

Personal Confluence Spaces will not be migrated. If you have a current active personal Confluence Space, you will receive an email from the project team shortly with more details of action you need to take


User Acceptance Testing

There is still time to volunteer to support the project with UAT (Jan/Feb 2025) and help us test the new system and report any issues – if you would like to volunteer please complete a short form here
