Welcome to your weekly countdown update.  These updates will provide you with the latest information regarding the migration to Cloud for Jira and Confluence as well as any pre-migration tasks you will need to be aware of and also start to share some of the great improvements you will see in the cloud instance.   Please also remember to keep an eye out for updates in the Comms Hub.  Links can be found here:

Project Categories


 📢 Project categories have been realigned to reflect the directorate the project falls under.  These changes have been updated in Jira

📢 A projects category can be viewed in the View All Projects under the Project option on the top menu bar

 


Early preview of one of the new Confluence features in Cloud 


📢 Introducing Confluence Whiteboards.  On migration to cloud we will have whiteboards available in Confluence.  This will be a fantastic new feature and we are excited to share with you the benefits and more information over the coming weeks.  For now please see this short introductory video:

Along with lots of exciting new features there will be some constraints when moving to cloud.  In this section we will call out where we need you to take action to prepare your work to be moved to cloud.  Please take some time to review the following actions


Confluence - Personal spaces

These will not be migrated.  We will work with you to understand the content within these spaces and action required to ensure any required information is retained. 

What we need from you please - All active Personal Space owners should have received an email from UKHSA_AtlassianProjectTeam@ukhsa.gov.uk on 31 January 2025. Please reply to us by Monday 10 February to confirm if the content is still active and in use, and will work with you to ensure appropriate action is taken. If you have a personal space which you are actively using, and you have not received an email, please contact us on the mailbox above


Data Cleanse Activity

UKHSA are currently undertaking an exercise to review and validate content within the UKHSA Atlassian platform. It is vital this work takes place so that we can complete a full assessment of content within those project spaces and whether they are suitable to hosted in the SaaS. 

What we need from you please - We will shortly email a questionnaire to all main contacts, for you to complete about the content of your Confluence and Jira spaces. There will be accompanying guidance to help guide you through the questions and some background information.   We would appreciate your help in completing and returning this information to us.

Familiarisation

Familiarisation sessions with our UAT volunteers have been recorded and are available for you to listen to.  FAQs have been updated and will continue to be during the UAT phase

What we need from you please - Make yourself familiar with the look and feel of Cloud Jira and Confluence by listening to the recordings as well as visiting the FAQ page. 


Jira and Confluence shortcuts

Project shortcuts in both Jira and Confluence do not migrate.  We will fix as many as we can during the migration weekend but Project admins/leads should make a note to recreate any that they find need recreating. 

What we need from you please - Please make a note of any shortcuts you have on your Jira Project or Confluence space so that if they are missing, you will be able to manually recreate them.
